The planning of a contractor with ten people lives on a whiteboard in the site office. That works until Wednesday. Then someone calls in sick, a job overruns, and something gets added without anyone else seeing it. We build a board that still holds up on Thursday, that will not let you schedule anyone twice, and that shows afterwards what a job actually cost.

Do the maths. Ten people, an hourly rate of fifty euros. If on average one person is scheduled nowhere for half a day each week — because nobody noticed, not because there was no work — that is two hundred euros a week and ten thousand a year you simply do not invoice.

The double booking is more expensive but rarer: two foremen waiting on the same person on Tuesday morning, a job standing still, and a customer who remembers it. On a whiteboard that happens a few times a year. Here it cannot: the system refuses, and tells you which job that person is already on.

Planning happens per half-day, not per day. Finish the driveway in Deerlijk in the morning, start the terrace in Anzegem in the afternoon — that is how it actually goes, and a board that only knows whole days stops being accurate after Tuesday. Leave, sickness and the construction holiday count just as hard as a job.

Your crew sees on their phone where they need to be tomorrow, with the address as a button to the sat-nav and the site notes alongside. That is also where they submit their hours, with the right job already filled in. Those hours sit apart from the planning, and that gap is exactly the figure you cannot see anywhere else: what you estimated against what actually went into that job, with the labour cost per person. Because a foreman and a temp do not cost the same, and on jobs with many expensive hours your margin disappears without you noticing.
